    Scope the Work

Ep 13 · Level 3 · DIY, learn or hire

Let it do the quotes: ChatGPT Work

Nine a.m., and every quote is already drafted in Gmail. ChatGPT Work reads the enquiries, drafts each reply from your price list, logs it in an Orders sheet, and waits for you to send.

Last time, a Project learned your prices. ChatGPT Work goes further: a chat answers a question, Work takes a job and does it. Here's the quotes job in four steps, and it runs every morning by itself.

Step 1 · Connect Gmail and Google Drive

Switch from Chat to Work, tap + in the message box, and add Gmail and Google Drive. They show up in your message as their names, in colour.

Step 2 · The sheets: paste the links

A scheduled task can't open your Project's files, so paste two links instead: your price list sheet and an Orders sheet. Just typing a sheet's name may not find it.

No Orders sheet yet? Ask Work to build one. Then add your rules: minimum fifty pax, delivery RM80, no discounts without asking.

Step 3 · Try it once, and fix it

Ask it to read yesterday's enquiries, draft a reply with a quote for each, not send anything, and log each one in Orders: the customer, the pax, the total.

Then check the drafts. If one is wrong, a missed delivery fee say, tell it in the same chat and it fixes the row.

Step 4 · Put it on repeat

When it's right, ask it to do this every day at nine. You get a scheduled task: daily, 9:00 AM, and you can pause it any time. It checks Orders first, so no one gets quoted twice.

Is it an agent? Yes, on a leash

It decides the steps itself. And it holds two big keys, your inbox and your Drive, a bigger key than last time's single sheet. So it only drafts and logs. You check the total, and you press send.

Work and scheduled tasks are on ChatGPT Plus, RM99.90 a month. It's built for your own inbox: two hundred WhatsApp enquiries a day for a whole team is still a system problem, one to have built.

    Try it

Ask Work to draft replies to yesterday's enquiries, without sending, and log them in a sheet. Check them before you put it on repeat.
