Set it up once: a ChatGPT Project

Same question, two chats: one guesses RM45 a head, one knows it's RM28. Put your rules and your price list in a Project once, and every chat starts from there.

Ask a new chat what your catering costs and it guesses: around RM45 a head. Ask inside a Project and it knows: RM28, from your price list. Here's how to set one up, once.

    Step 1 · Make a Project

In ChatGPT, open Projects and tap +. Call it Quotes. Projects are on every plan, the free one included.

Step 2 · The instructions: your rules

How you talk, and the rules every quote follows: minimum fifty pax, delivery RM80, never a discount without asking you. Save them once.

Step 3 · The sources: your price list

Under Sources, upload your price list, or add it from Google Drive. Linking the Google Sheet means the Project always reads your latest prices.

Now every chat in that Project starts with your prices, your tone and your rules. You just paste in the customer's message.

    One key, handed over once

The Project reads that sheet, inside that Project, and nothing else. The rest of your Drive stays out of it. And it can still get things wrong, so check the total before you send.

    Try it

Make one Project for the job you repeat most, and put your rules and price list in it today.

Same question, two chats. One says forty-five ringgit a head. One says twenty-eight. Only one knows your price list.

The first is a new chat. It doesn't know your business, so it guesses.

The second is inside a Project. Here's how to set one up, once.

Step one: open Projects, tap plus. Call it Quotes.

Step two: the instructions. How you talk, and your rules. Minimum fifty pax. Delivery, eighty ringgit. Never give a discount without asking me.

Step three: the sources. Upload your price list, or link the Google Sheet, so it's always the latest.

Now every chat in that Project starts there. Your prices, your tone, your rules. You just paste in the customer's message.

That's a key, handed over once. It reads that sheet, inside that Project, and nothing else.

It can still get things wrong, so check the total before you send.

Quick recap. One: one Project for each job. Two: rules in the instructions, price list in the sources. Three: check the numbers, every time.
